Client build, names hidden

Every form, meeting and payment lands in one CRM

A service business took requests from many website forms, meetings in a calendar and payments in Stripe.

Now one set of workflows routes each one and keeps the Airtable CRM up to date.

The problem

Requests, meetings and payments sit in five tools. The CRM is never current.

  • Proposal, design and support requests land in one pile.
  • Meetings get booked but the CRM never hears.
  • Payments come in with no record.
  • Form attachments expire.
  • Staff chase paperwork
  • Leads go cold

What we built

  1. Forms by type. Proposal, design or support: each form type starts its own workflow and goes to the right team.
  2. New or existing client. It checks Airtable. An existing client is updated. A new one gets a record.
  3. Files kept. Attachments expire, so they are downloaded and saved to Airtable.
  4. Meetings on the right calendar. Bookings go to the owner or the team calendar, and the record updates.
  5. Payments confirmed. A card or bank payment in Stripe triggers a confirmation email.
  6. A master table. All clients in one place, with a table per department.

What it does every day

  • Every form goes to the right team.
  • Meetings and payments update the client record.
  • Records update in Airtable as things happen.

All of these workflows run for one company.
